Cold-Chain Handling and Transit

Cold chain is the term for an unbroken sequence of temperature-controlled steps between dispatch and receipt. It is a process rather than a container: packaging, routing, transit duration, and the actions taken on arrival all form part of it, and the weakest step defines the outcome.


Why solution-format material is temperature-sensitive

All material supplied by Peplora Labs ships as a pre-mixed solution in a sealed vial. Material already in solution is more mobile and more chemically accessible than the same material in a dry form, so the rate of any chemical change in the vial is more strongly coupled to temperature. Keeping the vial cold throughout transit slows those rates; letting it warm accelerates them.

This is why storage condition appears on the certificate of analysis alongside the analytical results. The results describe material held under a stated condition, and the condition is part of the statement rather than a footnote to it.


What insulated packaging and gel packs do

A cold-chain shipper is a system of layers, each doing a distinct job. The insulating shell slows heat transfer between the outside environment and the payload. The refrigerant, typically conditioned gel packs, provides thermal mass that absorbs the heat that does get through. The internal void fill holds the payload in position so it stays within the thermal core and does not rest directly against a refrigerant surface.

  • Outer carton — mechanical protection and labelling surface.
  • Insulating liner — reduces the rate of heat ingress.
  • Conditioned gel packs — absorb heat and hold the interior within range for a designed duration.
  • Void fill and separation — keeps vials in the thermal core and away from direct refrigerant contact.
  • Sealed vial — the final barrier between the material and the environment.

A cold-chain shipper is designed to hold a range for a duration. Both parts matter: extend the duration beyond the design and the range is no longer maintained.


Transit excursions

An excursion is any period in which the payload sits outside its intended temperature range. Excursions are usually caused by transit taking longer than the packaging was configured for, by a package standing in an uncontrolled environment during handover, or by delivery to a location where nobody was present to bring it inside.

The significance of an excursion depends on how far outside the range the payload went and for how long. A brief deviation during a handover is not equivalent to a package left in an unconditioned space over a weekend. Because the difference is one of degree, the useful record is the observed state on arrival — refrigerant condition, package integrity, and delivery timing — recorded at the point of receipt rather than reconstructed later.


What to do on receipt

Unpack promptly. A shipper that has been delivered and left unopened continues to warm, and the protection it provides ends when its refrigerant is exhausted regardless of whether anyone has opened it.

  • Open the shipment on arrival rather than deferring it to a later point in the day.
  • Note the condition of the gel packs — whether they remain cold and how much refrigerant capacity is visibly left.
  • Inspect the outer carton and liner for crush damage or breach.
  • Confirm each vial is intact, sealed, and matches the packing list.
  • Compare the observed appearance of the solution against the appearance recorded on the certificate, as described in what a certificate of analysis documents.
  • Transfer the vials to refrigerated storage immediately, then record the date and time of receipt.

Transit time and packaging choice

Packaging configuration and transit duration are chosen together. A shipper is built with a target hold time, and the routing has to complete within it with margin. Where a route is longer, the configuration compensates — more refrigerant mass, more insulation, or both. Where a route is short, a lighter configuration is appropriate and adding refrigerant achieves nothing beyond weight.

Destination type and timing also matter. Deliveries to a business or institutional address with staffed receiving hours are more predictable than deliveries to an address where a package may wait, and predictability is what allows a configuration to be selected with confidence. Standard and expedited cold-chain options

Two cold-chain shipping options are offered at checkout. Both are temperature-controlled; neither is an uncontrolled option, because ambient shipping is not appropriate for solution-format material.

  • Cold-Chain Standard — temperature-controlled dispatch on a standard transit service, packed for that transit duration.
  • Cold-Chain Expedited — temperature-controlled dispatch on a faster service, reducing the time the payload spends in transit and therefore the exposure window.

The practical difference is the length of the exposure window rather than a difference in packaging quality. Shorter transit means fewer handovers and less time in uncontrolled environments. Where a destination is distant, receiving hours are narrow, or a delivery would otherwise straddle a non-working day, the expedited option reduces the number of variables.
